Step 5 : Communication For A winning Partnership

Arlox's six principles for efficient and effective communicaiton:

Respectfulness: Treat each other with respect and courtesy in all communications. This fosters a , positive and collaborative atmosphere, promoting healthy and productive interactions.

Candidness: Be truthful and direct in your communication. Openly express your thoughts, opinions, and concerns, avoiding indirect or vague language. Clear and honest communication builds trust and avoids misunderstandings.

Brevity: Strive for concise communication. Express ideas and information in a clear and concise manner, using fewer words whenever possible. This ensures that messages are easy to understand and saves time for everyone involved.

Constructive I-feedback: Use "I" statements when providing feedback. To avoid black and white thinking and help improve openness to new information that might change the way we look at  business, focus on personalising thoughts, beliefs, and feelings. For example, saying "I think this is best approach" "I believe this is best approach," or "I feel this is best approach" allows for a more constructive and non-confrontational approach. avoid time wastage on justification and defensinism.

Appreciation: Selfishly express genuine appreciation for the efforts and contributions as I can assure with 100% confidence that this will greatly help you succeed faster. Don't be shy, show gratitude for team's hard work, ideas, and small to big achievements. This fosters a positive and supportive environment, boosting morale and motivation to continue excellence phase of performance and input.

Active Listening: Practice active listening when engaging in conversations. Pay attention, show genuine interest, and seek to understand the perspective of the speaker before responding. Avoid interrupting and demonstrate that you value and respect their input.

Two channels of communication

Two communication channels ensure effective partnership: immediate, text-based channels like Slack (enhanced with LOOM extension for screen-sharing) for quick exchanges and urgent matters.
and one-on-one conversations, like realignment meetings, for detailed discussions and strategic planning. Both are vital, facilitating real-time collaboration and fostering alignment with objectives

1. Slack

What is Slack ? Why Slack over everything out there?

Real-Time Communication
: Slack enables instant messaging, allowing for quick questions, immediate clarifications, and timely updates.
Collaboration: It allows all team members working on your project to be in the same channel, fostering collaboration and keeping everyone on the same page.
Organized Conversations: With Slack, you can create different channels for various topics, ensuring conversations are well-organized and easy to follow.
File Sharing: You can easily share files, pdf's, document's, and links, making it a versatile tool for collaborative work.
Quick Video sharing: with extension like Loom, you can quickly record what you are seeing on your screen and share the link with us. This smothens the information inflow and outflow and boosts productivity.

How to use Slack effectively:

Be Concise: Try to be clear and concise with your messages to avoid unnecessary back-and-forth communication.
Openness to Questions: Be open to counter-questions from our team members. They ask these to better understand your requests and serve you effectively.
Expect Delays in morning & afternoon: While Slack allows for real-time communication, remember that our team members may be focused on deep work, particularly in the morning. So, expect replies within 6 hours or by evening. We start the work around 9am and 9 to 1 pm/3pm are usually deep work hours.
Show Appreciation: Slack is also a great platform to show appreciation for the team's hard work. A small positive note can boost morale and motivation.

2. Re-Alignment Meeting

What is Re-Alignment Meeting?
Realignment meetings are essential to ensure ongoing alignment with your brand's strategic direction. Conducted bi-monthly, these meetings allow us to thoroughly review data from the previous 14 days, assess progress, and discuss potential strategy adjustments.

They provide a platform for us to engage in more detailed discussions that cannot be fully addressed through immediate, text-based communication channels like Slack.

In these meetings, we also present a simplified performance report, discussing key performance indicators (KPIs) to further understand our performance and realign with our end goals.

Why not weekly?
Bi-monthly realignment meetings are more beneficial than weekly ones because:They allow more data to accumulate, not only leading to richer and more meaningful discussions but also ensuring you can make well informed decisions that we can commit to.

They also, maintain the best balance between communication and execution, ensuring efficient use of time. They provide room for task execution and for observing the statistical impact of strategies so you don't end up looping the same mistake ever.
They also, help us avoid reactive decision-making, enabling us to make make more long term strategic decisions based on comprehensive data and insights rather than immediate reactions.Remember, for daily updates and immediate queries, we have Slack to ensure continuous communication.

How to make the best out of it?

Preparation: Develop your questions and 'I-feedback' in advance and share them on Slack before the meeting. This allows us to prepare comprehensive responses and potential solutions.
Approach: Attend the meeting with a solution-oriented mindset, curiosity, ambition, and a readiness to make decisions. These attitudes enhance productive discussions and fast decision-making.
Appreciation: Remember to acknowledge the hard work the team is putting in. Genuine appreciation can boost morale and motivate the team for continued excellence.
Focus: Center discussions on actionable topics rather than issues beyond our control, keeping us focused on progress.
Scheduling: Use the provided link to schedule these meetings at a convenient time for you. This helps ensure you're fully engaged and prepared for each meeting.
